2. Veterinary Practice Management

In this section we review the veterinary practice management automation provided by VetBasic.

The VetBasic system is designed to work with your receptionist and veterinary specialists. A printer may be placed at reception for printing of certificates, information handouts and receipts.

The following forms and events are the fruits of the analysis of Dr Collier's veterinary requirements.

2.1 Main Screen

To use VetBasic you must first open the main introduction screen.

Clicking on "Clients" will take you to the client screen. Clients may be retrieved by a search on client surname, client telephone, client email address or via pet name or pet id number.

2.2 Opening Clients and Patients

After searching for a client (not shown here) their details are loaded.

The clients address and contact details are recorded. The initial contact date and introduction method are stored for marketing statistics.

From the client screen you may select patient records from the "Pets" drop down combo box. See next example...

The details of the patient including Name, Species, Colour, Sex and a date of birth are recorded. Dates for next vaccination and next heartworm boosters are recorded.

If a patient is required to be returned, a next consultation recheck date is recorded. A telephone followup may be recorded with detail of what is the followup reason.

From the patient screen an event may be generated for either Consultation or Hospital Admission by pressing the Start Event button.

2.3 Starting a Consultation Event

After pressing Start Event in the Patient Screen the following dialog screen is displayed.

We see here a new Consultation being placed in queue. This screen would usually be used by the receptionist on arrival of a client with a patient to be examined by the vet.

Each terminal of VetBasic is registered on installation to be located on one particular business location. Starting a Consultation event on the reception computer in Coburg will place that patient on the Consultation queue for Coburg.

The software is recommending desexing and vaccination boosting be offered to the client. VetBasic has checked the patients species and age. VetBasic checked that a vaccination certificate was issued for this patient more than 12 months ago.

On pressing Ok a consultation is scheduled in queue for the vet.

2.4 Starting an Admission Event

Alternatively, after pressing Start Event in the Patient Screen, an admission may be commenced.

We see here a new Admission being placed in queue. This screen would usually be used by the receptionist on arrival of a client with a patient to be left in the hospital.

Starting an Admission on the reception computer in Coburg will place that patient on the Admission queue for Coburg.

Next the receptionist will enter the options for the admission in consultation with the clients wishes.

On pressing Ok an admission is scheduled in queue for the vet surgeon.

2.5 Consultation Management

From the Main Screen select Existing Events to display the Open Event sub menu.

From the Open Event menu select Next Consultation.

If a client has multiple patients for consultation at the same time. A selection list with all patients for that client will be displayed.

Only Consultations for your business location will be displayed. Consultations for other locations will not be displayed on your screen.

Pressing the Start button will open the displayed consultation event.

From the Consultation window you may enter the details for the outcome of the consultation. The Patient window is available for reviewing clinical history, printing certificates and reports.

Pressing Save will update the patient clinical history and print out a consultation record with cost.

2.6 Hospital Discharge Management

From the Main Screen select Existing Events to display the Open Event sub menu.

From the Open Event menu select Next Discharge.

From the list given, selected a patient admission for discharge.

Pressing the Start button will open the selected admission event.

Only Admissions for your business location will be displayed. Admissions for other locations will not be displayed on your screen.

From the Discharge window you may enter the details for the outcome of the hospital stay. The Patient window is available for reviewing clinical history, printing certificates and reports.

Pressing Save will update the patient clinical history and print out a discharge record with cost.

2.7 Sample Certificates

VetBasic may generate many reports and certificates. We show some common certificates here.

2.8 Bulk Marketing Emails

From the Main Screen press Marketing. Then from the Marketing sub menu (not shown here) select Email Marketing.

Then enter your marketing message details and a complete email message will be formed. Press Send to confirm transmission.

VetBasic activates Microsoft Outlook via CDO to send the emails. The freeware ClickYES security bypass application is included with VetBasic to allow automatic email transmission.

2.9 Pathology

VetBasic interfaces with Gribbles E-Pathology data and pathology details may be refreshed automatically at the start of the day.

The location of the Gribbles database is entered in to VetBasic from the local VetBasic Configuration application.

The VetBasic Gribbles Import application is then installed and entered in to the task scheduler for automatic import of pathology data.

From the Patient Screen you may select Pathology to display any pathology results for the patient.
